Job Description: Administrative Assistant / Customer Service Representative (CSR)

Reports to: Owner, Office Manager
Job Objective :
The primary objective is to ensure customer satisfaction exceeds the standards set out by The Grounds
Guys through outstanding customer service, direct customer interactions and back-office support.
Responsibilities:
* Answer incoming calls, respond to customer questions/requests, take and/or post payments in
QuickBooks Online, answer customer questions, route requests to office manager or owner as
appropriate, and schedule appointments on owner’s iCloud calendar.
* Lead management - respond to and track incoming leads, call leads from provided lists, and set
sales appointments.
* Assist owner with tracking outstanding proposals.
* Proposal entry, tracking and follow-up.
* Keep internal records updated as supplier pricing changes are published.
* Post-project phone calls to customers to check customer satisfaction and schedule quality check if
needed.
* Run accounts receivable reports and contact customers regarding past due balances on a weekly
basis.
* Enter expenses in QuickBooks Online and scan/file expense receipts in Dropbox.
* Adhere to all company policies, procedures and business ethics codes and ensures that they are
communicated and implemented within the team.
* Provide backup support during Office Manager absence/vacation.
* Perform other duties as assigned.

Requirements:
* 2-3 years of experience in customer service or administrative support role.
* Excellent interpersonal and organizational skills, and ability to multi-task.
* Proficiency in the following applications/software: MSOffice 365 applications (Excel, Word, Outlook,
Edge at a minimum) and QuickBooks Online is REQUIRED, would also prefer experience with Google
Chrome, iCloud calendar, and webmail.
* Some experience with accounts receivable/collections and calling sales leads.
* Willingness and ability to learn internal software applications to the extent required to perform this
role.
* Able to pass drug test and background check
* Valid driver’s license
* Reliable transportation to get to work on time daily
* Legally qualified to work in the United States of America.
* Knowledge of lawn maintenance and/or landscaping business desired.
* Ability to work until 5:00 PM

* $15-19 hourly, depending on experience
